Tenants who apply online undergo a rigorous screening process that includes credit history, rental history, employment verification, and criminal background checks, all conducted nationwide. This ensures that we place reliable and responsible tenants onin your property. Once approved, they are required to pay a deposit within 48 hours and start rent payments within 2 weeks of their approval date.
Our tenants can conveniently submit maintenance requests through their online portal, streamlining the process. If a repair requires your approval, we'll promptly notify you via email and coordinate the work. Willamette Meadow Property Management coordinates maintenance and repairs with trusted vendors. We conduct routine maintenance and address urgent repairs promptly to keep your property in excellent condition. Your owner maintenance preferences are detailed in your account, and this will determine our level of communication with you throughout the maintenance process.
We initiate lease renewal discussions well in advance and provide you with options and recommendations based upon market research and our experience. We will reach out first via email/text first and then follow upfollow-up with a phone call when requested/needed. In case of tenant turnover, we handle move-out inspections, security deposit refunds, and prepare the property for the next tenant - all while keeping you notified of the progress along the way.
Our systematic and streamlined rent collection process and multiple convenient payment options ensureensures timely payments from tenants. In the event of late payments, we promptly address the situation and follow appropriate procedures to resolve it. Our goal is to maximize your rental income.
Our marketing strategies are designed to fill vacancies quickly. We leverage various platforms and tools & software (such as Appfolio and Showmojo) to showcase your property's unique features to a broad audience by allowing tenants to set upset-up self showings online directly from the rental listing and attracting high-quality tenants, reducing vacancy periods.
We conduct thorough market research, considering factors such as location, property size, and local rental trends. This helps us set a competitive rental price that maximizes your income and attracts quality tenants. Then we utilize various metrics, including ad views, scheduled showings, feedback, and guest cards, to gauge property performance so we can adjust price if needed. These insights guide us in optimizing rental income and ensuring your property is competitively positioned in the market.
We recognize that each owner's involvement level varies. Whether you prefer hands-on collaboration or a more hands-off approach, we adapt our services to align with your preferences and goals as closely as possible.
We conduct routine property inspections approximately every 6 months to assess its condition and identify any maintenance needs - this will be done either by our trusted team or using RentCheck, which allows tenants to do a self-guidedself guided inspection. If RentCheck is used, it also requires us to approve the inspection or ask for more details - these inspections actually provide you with the highest quality inspection, including photos and descriptions of any issues. Additional inspections may be done as needed. Our goal is to ensure your property remains in excellent shape and tenants are satisfied.
We prioritize tenant safety and property preservation. Tenants can report emergencies through our dedicated emergency line or their online tenant portal. Our team takes immediate action to mitigate damage and coordinate repairs promptly.
We maintain open communication with owners through regular updates, monthly financial statements, and online owner portals. Your monthly Owner Statements will be posted to your Owner Portal each month and will include copies of all invoices that were paid. Our open lines of communication ensure you're always up-to-date on your property's performance. We are also available to address any questions or concerns you may have.
The owner portal is accessible atwww.willamette.appfolio.com/oportal. Within the portal, you can find statements, transactions, documents, and maintenance requests. It's a convenient way to stay informed and engaged with your property's management.
While we hope you'll continue benefiting from our services, if you need to terminate, a 30-day notice via email/mail is required. We ensure a smooth transition and can provide necessary information for the new management company, if needed.
