Application ProcessTo apply for a property, use the "Apply Now" link on the property listing on our website. Required documents include proof of income for all applicants, a copy of your ID, 6 months of pay stubs, and other relevant paperwork. The application fee is $65, payable with your application or later by mail/office drop-off. Application review time varies based on unit availability and repairs. You'll be contacted before screening, and once you agree, the fee is non-refundable. If another application is approved before yours, you'll get a refund or can apply elsewhere. Lease Agreement InformationMost properties require leases of 11-12 months, though we do have limited properties that offer a month-to-month option. Breaking a lease requires a fee of 1.5 times the monthly rent.

Maintenance Request ProcessThe best way to submit maintenance requests is online via your tenant portal which can be accessed at https://willamette.appfolio.com/connect/ . You can also use the Appfolio Tenant Portal App to access your tenant portal for the best experience. You should hear from the vendor/contractor within 48 hours to schedule the work or an appointment. If you don’t hear from anyone, please call our office to let us know.

Emergency Maintenance ProceduresEmergencies encompass fire, flood, and significant electrical or gas problems. For after-hours emergencies, call 971-600-4086, leave a message or text if unanswered, for a prompt response. You can also use the tenant portal for high-priority maintenance requests, and we will be notified.

Pet PoliciesWe're happy to assist with your pet-related queries. Pet policies are unique to each owner and property and can be found in the property listing. When it comes to size restrictions, these also differ per owner and property. Feel free to reach out to our office with additional questions or provide detailed information in your application for further clarification. Pets require additional deposits of $500 per animal, which is fully refundable when you move out. The monthly pet rent will be determined once you complete the application process with petscreening.com. Additionally, all applications, whether or not they involve pets, are required to be submitted through petscreening.com. If you're bringing a companion or service animal, or if you're not bringing a pet at all, the application fee for petscreening.com is waived. Please note that only approved pets, companion animals, and service animals are permitted on the property, ensuring a harmonious living environment for all.

Rent Payment MethodsYou have several convenient options for paying your rent. The tenant portal is our preferred method, providing an efficient way to handle payments. Additionally, we accept payments through Pay Near Me, as well as traditional methods such as checks and money orders (there will be a $25 per check/money order fee after the first one each month). Rent is expected to be settled by the 1st of each month, and any paymentspayment made after the 5th are considered late. To ensure the smoothest process, please be aware that a late payment penalty of $75 will be applied for payments received after the due date and must be paid with the late rent.

Lease Renewal ProcessWe want to make your lease renewal process as straightforward as possible. Around 90 days prior to your lease end date, we'll perform an inspection and communicate with you through email or mail, offering options for lease renewal (choosing between a month-to-month or a 12-month term). To facilitate a smooth renewal, please take a moment to update your tenant information using the form provided in the "Tenant" section of our website. If there are any changes in rent, you can expect to receive notice of such adjustments at least 90 days before they take effect. While email is our primary notification modemode of notification, we'll also ensure that this information is mailed to you for your convenience. How can I switch a roommate or remove myself from a lease?If you're looking to make changes to your lease arrangement, whether it's switching roommates or removing yourself from the lease, here's what you need to know: For removing a roommate, the process involves all remaining tenants submitting new applications or providing income verification documents, along with a tenant update form. These documents should be sent to our management company via email at info@willamettemeadows.com. Once we've confirmed that the remaining roommates meet the required screening and income criteria, we'll proceed to electronically sign an addendum to formalize the removal of the roommate. In the case of adding a new roommate, they should initiate the process by submitting a new application. Upon approval, the new roommate mustwill need to sign an agreement form, indicating their consent to be added to the lease. Our aim is to facilitate a smooth transition for all lease adjustments while ensuring that the necessary criteria are met. Security Deposit HandlingEnsuring a clear understanding of security deposit matters is essential to us. Once your application is approved, we require that you submit the security deposit within 48 hours to secure your rental. With regard to the return of your security deposit at the end of your tenancy, you can expect refunds to be processed within the 31-day period from the date keys are returned in accordance with Oregon tenant-landlordtenant landlord law. We believe in a fair approach to deductions. During the move-out process, deductions may apply for any newly documented damage or unapproved alterations that occurred during your stay, in accordance with Oregon tenant-landlordtenant landlord law. It's important to note that standard wear and tear is not considered damage or charged for in these deductions. Subletting and GuestsUnfortunately, subletting is not allowed at any of our properties per your lease agreement. When it comes to the duration of guest stays on the property, we're delighted to welcome your guests for a total of up to 10 nights each year. In cases where their stay exceeds this allotted limit, we kindly request that they complete an application to be considered for tenancy. This application will include a background screening process to ensure a smooth transition. Notably, it's important to adhere to this procedure, as a failure to apply when guests stay beyond 10 nights annually would constitute a violation of our tenant regulations. Your adherence to these guidelines greatly contributes to the positive living environment we aim to foster.

Typically, we provide even more time – usually around a week's notice – to ensure you have ample time to prepare. Before you return the keys to our office, we kindly request that you complete the RentCheck Move-Out inspection. This step helps ensure a comprehensive assessment of the property's condition. Additionally, returning the keys is necessary to halt any further rent charges. In the event that keys are misplaced, please do let us know so that we can halt rent charges; however, please note that there will be a locksmith fee associated with this.
